QuickBooks Pro provides options to install a multiuser mode for a single person to use on two computers or for multiple users. Each separate user must have a valid license to use the QuickBooks software. Authorized users can log in and access the same QuickBooks file if you have installed the QuickBooks Database Server Manager on your server and authorized users to access your QuickBooks company file. Once installed, QuickBooks Database Server Manager scans your company computers for updates files and automatically configures new company files to sync with authorized computers connected to your network.
Install QuickBooks Database Server
1.Close any running programs on your dedicated file server computer, including virus protection programs that might interfere with the installation. Press 'ALT-F4' and close any running applications in Windows 8.
2.Insert the QuickBooks CD into your optical drive and start the installation program. If you have a downloaded version of QuickBooks, double-click the installer file.
3.Click 'Yes to All' when promoted to overwrite existing files. Click 'Next' and agree to the license agreement. Click 'Next' again.
4.Select 'Custom and Network Options' and choose the option that doesn't require a license and allows you to install only the files to share your company file over the network.
5.Select the 'More Than One User' option and 'Install Database Server Only.' Follow the prompts that guide you through the installation. Select the option to allow access for other computers to open files on this computer. Click 'Next.'
6.Click 'Install.' Click 'Finish' to open QuickBooks.
7.Click the 'Scan Folders' tab in the QuickBooks Database Server Manager.

Click the 'Add Folder' button and select the location where your company file is stored, or select the option to scan all folders if you are unsure. If you don't select this option, other users won't be able to open the company file remotely.
9.Click 'Scan' and 'Close' when the scan completes.
Configure QuickBooks Database Server Access
1.Click the 'File' and 'Utilities' menu in QuickBooks.
2.Click the 'File' menu, 'Utilities' and 'Host Multi-User Access' on the computer you want to use for administrator access.
3.Click the 'Company' menu and 'Set Up Users and Passwords.'
5.Add a username and password and select the access options for the user and the changing or deleting transaction options for the user. Click 'Finish.'

Open QuickBooks on each computer connected to the network. Click the 'File' menu and 'Open or Restore' Company.
8.Browse to the network location where you stored your QuickBooks Database Server Management file. Select the file and click 'Open.'
9.Provide the username and password assigned to each computer and log in.
